Give the flight number
Where flight tracking is included, the flight number is what allows the driver to adjust to a delayed arrival.

Planning advice from our team
How to plan tours and activities in Airport Transfers
A private transfer is worth booking when the arrival is late, the group has luggage, the destination is hard to explain, or you simply do not want to negotiate on arrival. It is not automatically the cheapest option — in cities with a direct rail link it rarely is — but it is the most predictable.
The important details are the ones people skip at booking: which terminal, how many bags, whether child seats are needed, and what happens if the flight is delayed.
When to go
Book ahead for late-night arrivals, public holidays and any airport where the taxi queue is long or the rail link stops running early. For daytime arrivals at a well-connected airport, a train or metro is often faster and cheaper.
Practical tips before you book
Confirm the exact meeting point
Large airports have several arrival halls. Agree the hall, door or car park level in writing before travel.
Count the luggage honestly
A saloon car will not take four people with four large cases. Declaring the bags at booking avoids a second vehicle on arrival.
Check the waiting and cancellation terms
Free waiting time after landing, extra charges and the cancellation window vary by operator and should be confirmed before you pay.
Mistakes we see most often
- Booking a transfer without the flight number or terminal.
- Assuming child seats are provided as standard.
- Choosing the cheapest quote without checking waiting time after landing.
- Arranging a fixed pick-up time rather than one tied to the flight arrival.
